Microsoft 365 Training Case Study

The Project

In response to the growing need for effective digital collaboration, our organisation launched a company-wide initiative to provide Microsoft Teams training to all employees. The objective was to equip staff with the skills to:

• Share files and manage permissions effectively
• Create and schedule Teams meetings
• Save and access documents in OneDrive
• Create channels and add files to those channels for streamlined teamwork

To support different learning styles and ensure accessibility, we delivered training through a combination of comprehensive user guides, instructional videos, and in-person demonstrations on-site.

The Challenges

While the benefits of Microsoft Teams were clear, transitioning employees to new ways of working presented several challenges:

• Many employees were accustomed to communicating in person or by telephone, with limited prior experience using collaboration tools like Teams.
• A significant number of employees lacked confidence with technology, leading to hesitancy and slower adoption rates.

The Solutions

To address these challenges, we implemented several targeted strategies:

• Personalised support: Trainers dedicated extra time to employees who needed additional help, providing one-to-one guidance and tailored assistance.
• Centralised resources: We established a SharePoint site as a central hub where employees could access further training materials, FAQs, and tutorial videos at their own pace.

Post-Training Outcomes

The impact of the training was both clear and measurable:

• 97% of employees expressed interest in receiving further Microsoft 365 training, indicating strong engagement and a desire for continued development.
• 100% (39/39 participants) reported that they found the training “really helpful.”
• Employees reported an average confidence rating above 7 out of 10 in their ability to use Microsoft Teams effectively following the training.

Conclusion

By investing in tailored support and comprehensive resources, the organisation successfully empowered employees to adopt Microsoft Teams, enhancing collaboration and improving digital literacy across the workforce. The overwhelmingly positive feedback and strong post-training confidence levels demonstrate the value of an inclusive, supportive approach to technology training
